After $14,000 in Kitchen Equipment Mistakes, Here’s My 5-Step Checklist

My official title is Director of Operations. What that actually means is: I’m the person who gets called when a mixer walks off the counter or an oven quits 20 minutes before service. I’ve personally made and documented 23 significant equipment mistakes since 2019, totaling roughly $14,000 in wasted budget. That number doesn’t include the lost sleep.

This checklist exists so you don’t pay that tuition. Use it if you’re about to order a KitchenAid stand mixer, install a KitchenAid 30 inch refrigerator, replace a lower heating element for a Whirlpool oven, search for Bunn coffee maker cleaning instructions, or buy a chest freezer without knowing how much energy it will waste.

Five steps. Every one of them is tied to a mistake that is still sitting in my spreadsheet.

Step 1: Match the KitchenAid stand mixer size to the workload, not the countertop

KitchenAid stand mixer sizes are confusing because the quart number describes bowl volume, not what the motor can actually handle. A 5-quart tilt-head looks like a sensible choice until you put a double batch of stiff dough in it. Then it hops across the workbench and the motor smells like regret.

In July 2021 I ordered two 5-quart tilt-heads for a bakery we were opening. The supplier and I both said “heavy duty,” but we meant different things. They heard home use. I heard small commercial. Result: the first bagel batch stalled the mixer. We upgraded to 7-quart bowl-lift units and haven’t had a motor issue since.

Here is the shortcut I use now. If you bake occasionally and mostly make batters, whipped cream, frostings, or one loaf at a time, a 3.5 to 5 quart tilt-head is fine. If you make bread, pizza dough, or cookie dough in volume more than twice a week, get a bowl-lift model and go at least 5 quarts — ideally 7 quarts. For a real bakery, skip the residential line entirely and price the commercial KitchenAid units. The bowl-lift design keeps the motor lower and the dough hook engages more consistently, which matters more than the finish color.

One more thing: check the manual’s maximum flour or dough capacity before ordering. That spec is the one everyone ignores, and it’s the one that costs money.

Step 2: Measure the space before you order a KitchenAid 30 inch refrigerator

A KitchenAid 30 inch refrigerator is called 30 inches for a reason, but that doesn’t mean you can put it in a 30-inch opening and call it a day. Most of these units measure about 29 7/8 inches wide, and then the doors, handles, hinges, and required clearances make the real number bigger.

In October 2022 I ordered one for a kitchen remodel. The old fridge came out, the opening was technically 30 inches, and I assumed the new one would slide in. It did not. The right-side door hit the cabinet frame before it opened far enough to pull the shelves out. The installation crew had to unload it, and we paid return shipping on a 300-pound appliance. The spec sheet on the website showed the exact dimensions. I never opened it. That was the expensive lesson.

Here’s your pre-order checklist:

  • Measure the opening at the top, middle, and floor. Old cabinets settle, and nothing is perfectly square.
  • Find the spec sheet for the exact model, including actual width and depth with handles.
  • Check where the door hinge will land. If one side is close to a wall, the door may not open fully — or the handle may strike the wall.
  • Confirm that the water line and electrical outlet will be accessible, not trapped behind the compressor.
  • If you’re installing a panel kit, read the panel depth requirements, not just the refrigerator dimensions.

Basically: trust the model’s cutout sheet, not the name of the product.

Step 3: Order the correct lower heating element for Whirlpool oven — bring the old part number

The March 2023 oven failure changed how I think about repair parts. An electric Whirlpool range at one location had no heat at the bottom. The top broiler worked, but cookies came out raw underneath. Diagnosis: the bake element had burned out. I typed lower heating element for Whirlpool oven into a parts site and picked the photo that looked right. When the box arrived, the element had the same mounting plate but the wrong bend. It didn’t sit flat on the oven floor. Another week, another $20 in return shipping.

What I should have done:

A replacement bake element typically runs $40 to $80 based on Whirlpool’s parts listings I checked in January 2025. A service call will cost more than $120 before parts. If you’re comfortable turning off power and handling basic connectors, this is a reasonable DIY job. But don’t buy a universal element just to save $15. The universal I tried looked close enough and wasn’t close enough. What I mean is: with heating elements, universal parts make you the quality control department.

Step 4: If you can’t remember the last cleaning, pull up the Bunn coffee maker cleaning instructions

Bunn coffee makers are workhorses. They’re also easy to ignore until the coffee tastes bitter or a pot takes twice as long to brew. In June 2022, one of our Bunn brewers was so scaled up that the spray head was barely misting the grounds. The repair cost us about $180 in parts and a lot of annoyed customers.

  • Flush with at least three full tanks of fresh water. If you can still smell or taste cleaner, keep flushing.

Honestly, I’m not sure why the branded cleaner works so much better than the generic descalers we tried. My best guess is that the concentration is tuned for how quickly these machines heat water. Either way, we stopped experimenting. We clean our Bunn brewers every 90 days, and in hard-water locations we move that to every 30 days. If the brewer slows down before the schedule says it should, clean it sooner.

Step 5: Ask how much energy does a chest freezer use before you compare prices

There is no single answer to how much energy does a chest freezer use, because size, age, and room temperature change the number by a lot. A modern full-size chest freezer in the Energy Star product database typically uses somewhere around 200 to 400 kWh per year (data accessed January 2025). An older unit, especially one sitting in a hot garage, can easily use much more.

The math is simple once you have the number. At the roughly $0.17 per kWh we pay on our utility bill as of January 2025, 300 kWh per year costs about $51. Run that freezer for 10 years and it’s over $500 in electricity — before you account for rising rates.

Here’s where I made the mistake. Last year I was comparing two similar chest freezers. One was $120 cheaper and used an estimated 200 kWh more per year than the other. At $0.17 per kWh, that’s about $34 per year in extra electricity. The cheaper unit would have cost more within four years.

So check the yellow Energy Guide label. Look for the estimated yearly energy cost and the kWh per year. Use a simple total-cost calculation: purchase price plus estimated energy cost over the expected life of the appliance. In my experience, that habit has saved us more than any coupon code ever did.

Final notes and the stuff that still trips me up

A few reminders from my error log:

  • Take a photo before you disconnect any wire. Your memory is not as good as the photo on your phone.
  • Order by part number, not by the picture on a parts website.
  • Measure the actual opening before ordering a refrigerator, even when the old unit “looked like” the same size.
  • Call a professional for gas appliances, sealed refrigeration systems, or anything you’re not confident about. DIY has a limit.

Bottom line: I’m not against buying cheap. I’m against buying cheap when it costs more later. The cheapest heating element, the cheapest freezer, or the mixer on sale can be the most expensive version of the same idea once installation, returns, energy use, and downtime get added in.
